PREFERRED CATERER

We highly recommend Dalton’s Northwest Catering  http://www.daltonsnorthwestcatering.com/.  This company’s hosted many events in our ballrooms and efficiently handle everything from decoration to tear-down and clean-up.  Their presentation is consistently elegant, food is delicious and their pricing is reasonable.  We receive no kick-back or financial incentive when you choose Dalton’s.  This is a genuine experience-based recommendation.

Unlike most venues, our guests are welcome to use any caterer they wish.

Our ballrooms are a blank canvas.  Tables and chairs may be set up in any way you envision.  Communicate your favorite colors, table decor and preferred room design in advance to your caterer.  Common wedding table/chair staging for weddings includes but is not limited to banquet (large round tables surrounded by chairs), cocktail (small, tall tables with no seats), U-shape (rectangular tables set out in the shape of a “U,” with seats), and more.  Before your event, we suggest laying out a scale model of your ballroom(s) and exactly where you want to set your tables and chairs.  This will ensure guests have sufficient room to navigate in/out of their table, and your reception looks exactly like you envision.  Visit http://www.theballroomdancecompany.com/Images/BallroomTableArrangementExamples.PDF to view some of the many options you have for table arrangements.

SELF CATERING

Unlike most wedding facilities in the greater Portland area, we allow self-catering.  We also have an on-sight kitchen with convenient pass-through window available for last-minute food staging.

Our ballrooms are a blank canvas.  Tables and chairs may be set up in any way you envision.  Choose the color or your tablecloths, napkins, and centerpieces to enhance your theme.

Self-catering can be time-consuming.  Make sure to take food safety precautions, and plan in advance ‘who’ will be doing ‘what’ ‘when’ — including but not limited to cooking, table and chair set up, serving, tear-down and clean-up.  Tables, chairs and foods cannot be stored at the Ballroom.  Paid rental hours ‘start’ from the time you start bringing in chairs/tables/food/decorations, and ‘finish’ at the time you have removed all chairs/tables/food/decorations from the property.  Please book your rental with sufficient time to allow for set-up/tear-down, or a portion of your security deposit will be withheld.

When moving tables, chairs, benches or any equipment around the ballrooms, make sure to ‘lift and place’ rather than ‘drag’ across the floor.  Dragging will permanently damage our floors which would result in a portion of your security deposit being withheld.  Likewise, please make sure you fully clean up spills throughout the evening, and remove garbage after your event, or a portion of your security deposit will be withheld.

ALCOHOL

The Ballroom requires all events to be in compliance will all applicable state and federal laws, and OLCC rules and regulations.  Events serving alcohol must provide their own licensed bartender.   Individual/groups in charge of the event are responsible for verifying compliance. We require liquor liability insurance, and you may need a Temporary Liquor License. If you are using professional catering, they likely have their own licensed bartenders who are fully licensed and ensured.
If the police, OLCC, Fire Marshall, or other agency close down your event for breaking laws, you must still pay full rental fees for your event.  One-night policies are usually inexpensive and easily purchased.  For more information, visit http://www.wedsafe.com.

CATERING TABLE ARRANGEMENTS

We recommend not cramming your guests into the smallest room they can fit in. Legal room capacities comfortably fit cocktail style receptions (no room for seats or larger tables), when it doubt go with a larger room. For example: while the capacity of the Champions ballroom is over 300 it will only comfortably seat 100 for a large round table banquet dinner arrangement. Your caterers will need to be experienced in how to set up tables to most comfortably accommodate your party’s needs.
